BASECAMP ALTERNATIVE · CLIENT ACCESS · STAFF OPERATIONS
A Basecamp Alternative for Service Firms That Want Clients Raising Issues and Staff Punching In
Basecamp is a well-known project tool for teams that work with clients, and its Client mode lets you decide project by project what clients can see. APPEO NEXUS does a narrower job. Clients log in to their own projects to report bugs and add requirements, and the same app handles staff attendance with Android photo and GPS punch-in, leave approvals, daily logs and escalations. This page compares the two honestly, including what APPEO NEXUS does not have.

THE PROBLEM
Why Agencies on Basecamp Still Keep a Second App for Their Staff
Basecamp is built around projects, message boards, to-dos and Card Tables, and it gives you careful control over what clients see. For a service business, though, the client conversation is only half the day. Someone also has to record who came in, who is at a client site, who is on leave next week and what each person actually did.
Basecamp's features page does not list attendance or leave. Firms that need them usually add a punch-in app, a leave spreadsheet and a WhatsApp group on the side. Client problems also tend to arrive as messages rather than as structured bugs with a priority and an owner, so a manager has to turn the conversation into work by hand.
WHY IT MATTERS
What Running Client Projects and Staff Records Apart Costs a Service Firm
- A client's message describing a fault has to be re-entered as a task before anyone owns it
- Managers assign urgent fixes without seeing who has punched in or is on approved leave
- Attendance records for field staff sit in a different app from the jobs they were sent to
- Blocked work is mentioned in a thread rather than escalated to someone who can decide
- Clients cannot tell whether a bug they reported has been fixed and verified, or only discussed
- End-of-day updates come by phone because there is no daily log next to the tasks
If your clients mainly need a shared space for discussion, files and schedules, Basecamp may already fit. APPEO NEXUS suits firms whose clients mostly report problems and request changes, and whose managers also run attendance and leave.
HOW APPEO NEXUS HELPS
From a Client's Bug Report to a Verified Fix, With Attendance Alongside
In APPEO NEXUS you set up clients, projects and people. The workflow is built in rather than designed by you.
- Client raises itA client logs in, sees only the projects linked to them, and reports a bug or adds a requirement with image or video attachments.
- Admin assignsAn admin assigns the item to an employee with a priority. High-priority requirements also get a deadline and an estimated time.
- Employee works and escalatesThe employee punches in on Android, starts or pauses the task, adds remarks, and escalates with a reason if blocked. Admins get a push notification.
- Verify or reopenThe employee completes the work and an admin verifies it. If the problem returns, the client can reopen the bug.
FEATURE WALKTHROUGH
APPEO NEXUS Features That Replace Basecamp Plus a Separate HR App
These features are part of the product itself. All alerts are push notifications on the app; APPEO NEXUS does not send email notifications.
Client role tied to linked projects
- What it does
- Gives each client a login that only shows the projects linked to them.
- Problem it addresses
- Clients sending the same complaint to several people by email and chat.
- How you use it
- Link a project to the client and share their login; they report bugs, add requirements, export and edit their own items, and view their meetings.
- Why it matters
- Every client request starts as a tracked item, and no client sees another client's work.
Bugs and requirements as separate item types
- What it does
- Keeps faults and change requests apart, each with its own priority, history and attachments.
- Problem it addresses
- Fixes and new requests mixed together in one discussion thread.
- How you use it
- Clients choose whether they are reporting a bug or adding a requirement; admins prioritise each list.
- Why it matters
- You can see what is broken separately from what is new work.
Android punch-in with photo and GPS
- What it does
- Records attendance from the Android app with a photo, the address and the GPS location, and lets admins export it.
- Problem it addresses
- Attendance kept in a separate tool from the jobs staff are doing.
- How you use it
- Employees punch in and out on their phones at the office or client site; admins review and export the records.
- Why it matters
- Managers check who is working before assigning an urgent client fix.
Leave types, holidays and approvals
- What it does
- Lets admins set leave types and holidays; employees apply and admins approve or reject.
- Problem it addresses
- Leave requests handled in chats and spreadsheets.
- How you use it
- Staff apply in the app and admins decide from the same place they assign work.
- Why it matters
- Client deadlines are set with real availability in view.
Escalation with a reason
- What it does
- Lets an employee escalate a blocked task and explain why, sending every admin a push notification.
- Problem it addresses
- Blockers buried in a comment that nobody with authority reads in time.
- How you use it
- The employee taps escalate and types the reason.
- Why it matters
- A decision-maker hears about the problem before the client does.
Daily logs and estimated versus actual time
- What it does
- Employees record a daily update; tasks compare actual time with the estimate and list overtime tasks.
- Problem it addresses
- Status calls held only to find out what people did and where time went.
- How you use it
- Staff add a short log each day; admins read the logs and the overtime list.
- Why it matters
- Progress and overruns are recorded without extra meetings. This is not a timesheet or invoicing feature.

ILLUSTRATIVE BUSINESS SCENARIO
Illustrative Business Scenario: A Web Maintenance Firm Moves Client Fixes Out of Message Threads
Illustrative example: a small web maintenance firm uses a project tool with client access for each retainer client. Clients describe faults in message threads, an account manager turns those messages into to-dos, and engineers record attendance in a separate punch-in app while leave is agreed over chat.
During an APPEO NEXUS trial, each client gets a login to their own project and reports bugs with screenshots. The admin assigns fixes by priority after checking who has punched in and who is on approved leave. Engineers escalate jobs that need server access from the client, and the admin verifies each fix before the client sees it closed. APPEO NEXUS has no message boards, no Card Tables, no integrations and no iOS app, so the firm's iPhone users work in the web app instead, and the firm decides that having client issues and staff records in one place is worth those gaps. This is an illustrative example, not a customer story. No real company, person or result is described.

FAQ
Questions From Teams Weighing Up a Move From Basecamp
Is the APPEO NEXUS client role the same as Basecamp's Client mode?
Not exactly. According to Basecamp's features page, Client mode lets you decide what clients should and should not see, project by project. In APPEO NEXUS, each project is linked to one client, and that client's login shows only their projects, where they report bugs, add requirements, export and reopen their own items, and view their meetings.
Can we bring our Basecamp projects across automatically?
No. APPEO NEXUS has no integrations or import connectors for Basecamp. Most firms set up active clients and projects during the trial and keep Basecamp for archived work until they decide.
Will our staff still get email updates the way they do now?
No. APPEO NEXUS sends push notifications through the app, for example when an employee escalates a task. It does not send email notifications.
Do clients see our staff attendance or leave records?
No. Clients only see the projects linked to them and the items inside those projects. Attendance, leave and daily logs are for admins and employees.
Does a 10-person agency meet the licence minimum?
Each plan has a minimum: 25 licences on Starter and 15 on Growth. A smaller team would still pay for the minimum, so compare that with your headcount and with Basecamp's current pricing before switching.
